Charts of Accounts lists all of the charts of accounts that administrators have created for the trial balance files that will be uploaded to General Ledger Manager, and enables administrators to manage them and to create new ones. A chart of accounts may need to be created for each unique trial balance that will be added/uploaded.
How Charts of Accounts is Used
Charts from Charts of Accounts are used in Account Maps in Setup where you select one or more of them for inclusion in account maps that you are creating or editing. Only those charts of accounts will be available for selection, however, whose year is the same as the tax year that you selected for an account map.
Charts of accounts in the list are also used in the Add a File to Queue routine in Import Trial Balances where in the second step of the routine you must select the chart that applies to the trial balance file that you want to add to General Ledger Manager. The chart that you select will then be used for the file validation process.
If your organization licenses and uses General Ledger Manager connect to automatically upload trial balance files, then General Ledger Manager will assign a chart from Charts of Accounts automatically to each trial balance uploaded based on a match between the file name prefix entered on a chart of accounts and the prefix of an uploaded trial balance file.
How Charts of Accounts is Sorted
The charts are listed in descending order by Most Recent Year Available. You can click the Most Recent Year Available column heading to toggle the list between descending and ascending order. No other sorts may be done on this list.
Data Displayed in Charts of Accounts
The chart of accounts name, its year, and the name of the import layout assigned to it display for each chart in the list. If your organization is using General Ledger Manager connect and a file name prefix has been entered on a chart of accounts, then it will display as well.
In addition to viewing/searching the list of charts in this view, you can do all of the following:
Each time you create a chart, General Ledger Manager returns you to the Chart of Accounts list view where you can see the new chart in the list.
